Ok, now that everything is on the table. Let's see what we can do to make this happen. I once had to be in CA on August 17th, I managed a 3 day stay with a hel of a lot of planning and some good friends. So here we go!
You have 10 days vacation. Are sick days seperate and/or spent? How much of it do you have left? Ignoring illnesses and/or unexpected leave what more days off do you want this year, i.e. christmas, friday of thanksgiving, etc...? Is Pennsic worth giving these up? When do your days reassemble? i.e. when do you get more days, January 1st or a different date? Is a 3 day Pennsic worth it? (Yes, you are talking to someone who has done that, so I know what my answer would be) Can you hitch a ride with someone there and/or back? (While this may not save $$ on gas and tolls {if you pay gas as a car ride exchange}, this may save wear and tear on your vehicle and may help you further down the road) If it is a 3 day pennsic (amount of days picked arbritarily) which 3 days are the most important? Use the weekends to your advantage. Return travel on the weekends are invaluable in this senario. Speaking of, here is a senario - Take Wed., Thus., and Fri., of War Week off. Pack everything you can the previous weekend, pack the car Monday evening and leave Tuesday after work. Make sure to have plenty of caffeinated beverage of choice on hand. Make sure to leave Pennsic very early sunday, or better yet Sat. night - give yourself a few hours to recover before you have to go back to work. Yes this is a hell of a lot of work, but I have done it and it is worth it.
Also - can you send your tent ahead with someone to have set up when you get there. I do know you are going to or just have purchased a pavillion. If this Pennsic does turn out to be such a harem-scarem 3 day jaunt, I would reccomend waiting to use that until the next big camping event. For several reasons. 1. If someone is setting it up for you, a nylon tent may be less work, and certainly less storage space in someone else's vehicle. 2. Trying out a new tent with only 3 days, is asking for disaster. We know this :) 3. You will want to work out the kinks of the new tent when you have time to do so.
About food. Either find yourself a meal plan (I don't know what your camp does) or figure out about 5$ per meal in the food court, o r think of it as 15$ perday and in your pre-Pennsic shop add in H2O and gatorade to have on deck. Note that chocolate milk would be included in your 15$ per day. Stick to this, It's about the minimum one can eat on there (yes, what I have done in the past). At this time, throw WW out the window with the time limit, it's too much work. Work to be there, being there is the priority and walking will help with weight issues. Don't even think about cooking for yourself or others. 1. don't want to haul cooking gear. 2. don't want the pressure of preparing and cleaning up for other people. When looking for options, think about offering to clean up for every meal eaten with others (if there is no meal plan in this senario).
On packing for a short jaunt. Leave projects at home! Yes, I said that. Projects take up precious travel space. I am sure you will find things to do while there.
Be as minimalistic on garb as humanly possible. So you wear one court garb to 3 different places, no one will fault you for it. Pack mainly light garb - cold weather may be taken care of by cloak and blankets at night. Throw in a bag of quarters, before you leave, in case you need to do laundry. Being in quarters means there's less temptation to spend the money on other things. There are washing machines on site, which by war week mean a lot of lines, but better than going off site, and if you don't need it, you have change for laundry when you return. Budget in some shopping money in all of your monetary estimations. Don't go over board here, but you know there will be a book you want to buy there.
